In addition to marking a completion tick on a learner’s record, your learning platform should capture detail behind the completion tick. This would be useful for future reference by regulators and auditors.
Completion Timestamps and Learner Identity
Date and Time of completion with name and role of learner. Something as simple as this provides clear evidence of who completed what and when. It’s the first thing an auditor will ask to see.
Assessment Scores and Pass Thresholds
Also capture the score achieved by the learner and set a pass mark for the assessment – capturing whether the learner has passed or not is not sufficient as there is no evidence that the appropriate pass mark has been used.
Course Version at Time of Completion
Record the version or the revision number that the learner sat the course at.
Certificate Expiry and Renewal Dates
Where a course carries a certificate, record when it expires. Expiry data should be used to automatically remind others when the certificate is due to expire, rather than someone having to manually check a spreadsheet.
For Compliance Elearning, see www.adempi.co.uk/compliance-training/elearning-courses.
Remedial Attempts After Failure
If a learner fails at some point but retakes the learning, track each attempt separately against the date and score.
Personal data from the completion records (names/scores/dates etc) must be handled in line with UK data protection legislation when storing completion records. See how we handle personal training records for completion records.
Good tracking turns a finished training course into tangible evidence that can be referred to when required.
